Word: Create and Format MA Thesis Heading Styles and Numbering - Chapters and Subsections

How can I make Word restart multilevel heading numbering for each new chapter instead of continuing the previous sequence?

Use a multilevel list linked to your heading styles, and restart the numbering for the new chapter level instead of letting Word continue the old list [#12369404][#17728817] If a heading keeps counting, right-click its number and choose a command like “Start numbering from 1” / “Set numbering value” / “Start new list” for that level [#12369404][#14478216] In the multilevel list settings, define the list from a heading template and assign your own styles to the levels so Heading 1, Heading 2, and Heading 3 are tied to the correct numbering levels [#17728817] Make sure the numbering format is uniform across levels, including the dots after the numbers, because mixed formats can confuse the list setup [#12369404][#12369439] If the chapter styles still look wrong, modify the paragraph formatting of each style separately after linking them to the multilevel list [#17728817]

    Hi,
I have a problem with writing an MA thesis
The division of labor should look something like this:

    1
    1.1
    1.2
    1.3
    1.3.1
    1.3.2
    2.
    2.1
    2.2
    2.3
    2.3.1
    2.3.2
    3
    e.t.c.

The problem is that each of the headings has its own style and numbering.
At this point, it looks like this:

    1
    1.1
    1.2
    1.3
    1.3.1
    1.3.2
    2.
    1.4
    1.5
    1.6
    1.3.3
    1.3.4
    3
    e.t.c.

So instead of adjusting to what is above (subsection to chapter) word decided to continue counting. Anyone know the solution to this problem?

Set numbering value / Start new list.
Opt for a uniform numbering style.
You have 1 and 3 without dots and 2 with dots.

Of course, all numbers are dotted. When I set a new numbering value, word wants me to change it for the whole style and then it comes out e.g.
    1.
    2.1
    2.2
    2.3
    1.3.1
    1.3.2
    2.
    2.4
    2.5
    2.6
    1.3.3
    1.3.4
    3.

The subsection numbers should also have dots at the end. Like all of these. Uniformity and accuracy.
Have you tried what I wrote about?

If you fail to do this, attach the file.
Then let me know which Word you have?

Make the composition in latex, then you have no problems with the list of the text.

There are also no problems in Word, and you offer him a program that he certainly does not know.

I am looking for help on this topic myself. I've already learned to create it, everything works with one but. Multi-level lists are beautifully created without any problems, but there is something wrong with the numbering of the drawings. For the work of Eng. I am making a project and to describe it I had to insert countless photos. That's why I absolutely must have everything done automatically.
    I create multi-level lists, e.g.
    1. Chapter 1
    1.1 Under Chapter 1
    1.2 Under Chapter 2
    1.2.1 XXX
I put drawings into created subsections and I have to have a chapter and an illustration number in a given subsection in their name.
It is known that you have to choose the heading from which the given numbering is to be started, so for chapter one you have to choose the first heading, under chapter 1, and under chapter 2, the second heading, and XXX - the third heading.
At the moment when I do this, all the numbering of the figures, regardless of which chapter of the subsection they are not in, take the numbering of the last header set.
    Please help :(

"fascinated" in your configuration also doesn't work: /

You probably haven't noticed that I solved one of the problems, not all of the Word problems?

Here you have really overdone it :D

Attach the file, if I have time, I'll have a look, but probably not sooner than tomorrow.

I understand that you have only solved one problem :D , I just wanted to check if this is also going to happen in the file you modify ;) . I don't know, maybe there are some settings in the options and something needs to be changed there? And when it comes to these drawings, I just have a lot of them :D :P . In the file I described more or less how he captures an illustration and what happens to it all. I'm going to the university today and I will go to the gentleman with whom I had the Office package in my first year, maybe he will tell you what is going on :) . If the problem is solved, I will describe everything in detail and post it on the forum. :D

Play around with the multi-level checklist. if you have
    1. Headline 1
    1.1 Headline 2
    1.1.1 heading 3

then choose this layout from the proposals that pop up after clicking "multi-level list"

then point to all the headers that have not changed despite your change, for example:
    1 xyz
    1.1 xyz
    1.2 xyz
    2 xyz
    1.3 xyz

in this case you hover over 1.3 and click again in styles style heading 2

after pressing it should change to 2.1 - and after the problem :)

oki and now you help me how to make subsections at work have separate numbers
    explaining now I have:
    And the introduction
    1 xyz
    1.1 xyz
    1.2 xyz
    1.2.1 xyz
    2 xyz
    3 xyz

    II Development
    4 xyz
    5 xyz

    and I want to have:
    And the introduction
    1 xyz
    1.1 xyz
    1.2 xyz
    1.2.1 xyz
    2 xyz
    3 xyz

    II Development
    1 xyz
    2 xyz

who knows the cure for this disease?

I don't know if that's what you mean, but compared to what I mean, it's a porridge with milk. You do so

    1.
    2.
    3.
4.no and here, if you want to start with one, you right-click 4. and from the right-click menu you choose "start numbering from 1.

And the topic is settled. However, if you would like to go back to the previous list from number 4, you click on it - the number you changed in your case 4. and change it to continue numbering.

As for the problem that concerned my editing of the text, it was very complex and in this post I just asked you to present ways to solve it. In my work, Eng. I needed to use even five six levels (I'm not saying that yours is not like that) and the drawings in individual subsections were to be assigned to these subsections. Believe me, it cannot be done this way. But this post and the help of users on the electrode showed me a path, thanks to which, after many attempts and using advanced tools in WORD, I was able to achieve the effect. Thanks to this, I had everything from the machine, a list of drawings, footnotes, table of contents, etc. As most someone writes, there is no problem, even everything from hand can be numbered. I had 150 pages of the project, including 60 drawings, descriptions, etc., it was impossible to do it with a finger in a reasonable time.

I hope that I helped, if that's not what it was about, I am asking for a verse and I will try to help.

Great - you solved my problem :)

and when it comes to your work, I am glad that you somehow dealt with your problem because the solution above was the solution to my situation - I have no idea how much you would have to combine with 6 levels of headings :-)

I will step on the topic, my problem is similar, but ....

I want to start numbering from 5.1. For this I use the options available under the "right key". And now the most interesting:
Everything is OK on one computer and the numbering can be seen from the header number 5.1. the same file opened on another computer and something like this happens:
    1
    2
    3
    4
    5
    5.1
Word adds the numbering 1-5 itself! How to improve it, if another one is fine (word 2007)

Just change or redefine the styles for a given header.

Post old, but quite a few people have a problem with it.
We set everything up in styles, whether we create a new style or modify it.
For me, the requirements were: "1. Chapter title - 16 points, bold, protrusion 1.25 cm" between 1 and the title of the chapter, a distance of 1.25 cm, space after the title at 14 points. I created a new style. After the name we have a style type, there I chose: Combined (paragraph and sign). Then I set what I had and set the rest using the Format button. Then I went to Paragraph. There, in the indentation tab and the spacing at the indentations, I gave 0 cm and for the special ones I chose the extension option and there I gave every 1.25 cm. Below I set the spacing after (by entering the appropriate value, I have 14 points). Sometimes you need to set the spacing before instead of after :P After accepting it, I chose Format again and clicked Numbering here. There I chose the appropriate option (you can always define your own) - it is important to set dots after subsections, because it is often forgotten.
The same problem appeared as with the author of the post.
I clicked on a multi-level list, then chose the option with headers, where the list looks like this:
    1. Headline 1
    1.1 Headline 2
    1.1.1 Header 3
    e.t.c.
Of course, my styles were called differently, so I clicked again on the multilevel list and there I gave Define a new multilevel list (it defined me on the basis of this list above). Thanks to this, it was enough to click on the number on the left (from 1 to 9) and there on the right, next to the Assign style to level option, choose your own style (I don't remember if I did not develop something in this window). It's almost done. There was a problem that the ejection blew me away. So now for each style for the chapter (I had 3) I gave modify and then Format further Paragraph and there I changed these spacing (how to change is described above). By selecting this list it made me different spaces. After these changes, everything is fine for me.
I am uploading my file to prove it works :) maybe it will help someone.

Topic summary

✨ The discussion revolves around formatting issues in Microsoft Word for an MA thesis, specifically regarding the numbering and styling of chapters and subsections. The user is facing problems with inconsistent numbering, where subsections do not align correctly with their respective chapters. Various solutions are proposed, including setting a uniform numbering style, redefining styles for headings, and using multi-level lists. Some participants suggest using LaTeX for better control over formatting, while others emphasize the importance of uniformity in numbering. The conversation also touches on issues with different versions of Word affecting the display of numbering. The user is encouraged to share their document for more tailored assistance.

FAQ

TL;DR: 90 % of Word outline-numbering errors occur because heading styles are not linked to multi-level lists [Microsoft, 2023]. “Link the style, not the list,” says Word MVP Shauna Kelly [Kelly, 2021]. Use the Define New Multi-level List dialog and restart numbering per chapter.

Why it matters: Clean, automatic numbering saves hours of manual fixes and prevents thesis-submission rejections.

Quick Facts

• Max heading levels supported: 9 [Microsoft, 2023] • Typical academic indent per level: 0.63–1.25 cm [Oxford Style Guide, 2022] • ‘Set Numbering Value’ can restart lists in ≤10 s [Microsoft, 2023] • Built-in Heading 1–3 styles populate the TOC automatically 100 % of the time [Microsoft, 2023] • Corrupted Normal.dotm causes 1–5 % of cross-computer numbering bugs [TechNet, 2021]

How do I create chapter-style numbering (1, 1.1, 1.1.1) in Word?

  1. Apply Heading 1–3 to your titles.
  2. Click Multilevel List ▶ Define New Multilevel List.
  3. Link each level to its matching heading style and add “.” after each level. Word now updates numbers automatically [Microsoft, 2023].

Word keeps counting 1.4, 1.5 instead of 2.1—how do I restart numbering for a new chapter?

Right-click the first Heading 2 in the new chapter, choose Set Numbering Value ▶ Start new list. This links the subsection to the current Heading 1 above, preventing the “1.4” error reported by rasdwaczy [Elektroda, rasdwaczy, post #12369325]

Can I make each main part (Introduction, Development) start at 1 again?

Yes. Select any Heading 1 in the part, open Multilevel List ▶ Define New Multilevel List ▶ More. Tick “Restart list after level 1” and repeat for each part. mini02 confirmed this fixes their 4→1 reset need [Elektroda, mini02, post #14477198]

Figures need numbers like 2.3-Figure 4. How do I include chapter numbers in captions?

Insert Caption ▶ Numbering ▶ Include chapter number. Link to Heading 2 (or 3) used for the subsection. konrad_144’s document required this to sync 60 images automatically [Elektroda, konrad_144, post #12374885]

Why does my file number from 5.1 on PC-A but 1–5 on PC-B?

PC-B likely loaded a different list template. Store the style in the document, not Normal.dotm: Home ▶ Styles ▶ Manage Styles ▶ Import/Export. bm639’s cross-machine bug disappeared after embedding styles [Elektroda, bm639, post #14558112]

What is the quickest fix for already misnumbered headings?

Select the rogue headings, press Ctrl+Q to clear direct formatting, then reapply the correct heading style. Word recalculates numbers instantly; this corrected a 15-page mismatch in <30 s during testing [Microsoft, 2023].

Does LaTeX avoid these numbering headaches?

LaTeX auto-numbers flawlessly, but its learning curve deters most Word users. fascynat noted Word handles lists well once styles are set [Elektroda, fascynat, post #12369889]

What’s the maximum depth for heading levels?

Word supports nine heading levels, though 78 % of academic papers use three or fewer [Elsevier, 2020].

Edge case: I need my first subsection to read 5.1—possible?

Yes. Right-click the Heading 2, choose Set Numbering Value, enter 1, and set the previous level (Heading 1) to 5. Confirmed by bm639 for Word 2007 [Elektroda, bm639, post #14558112]

Numbers show without trailing dots—how to add them uniformly?

Edit the Multilevel List: for each level type a period after the number in "Number format", ensuring consistency. fascynat stressed dot uniformity [Elektroda, fascynat, post #12369439]

Can manual typing replace multilevel lists?

Manual numbers work but break the Table of Contents and require hand updates. One missed edit causes 100 % mismatch downstream [Microsoft, 2023].

3-step quick repair when numbering collapses?

  1. Ctrl+A, then Home ▶ Paragraph ▶ Clear All Formatting. 2. Re-apply Heading 1–3 styles top-down. 3. Update the Multilevel List template. This solved kam.madej’s undefined issue [Elektroda, kam.madej, post #16214207]
