Setting Up Scan to Email on Konica Minolta C253 - Sender's Address Not Set Error

How do I fix the "sender's address has not been set" error when setting up scan to email on a Konica Minolta C253?

Set the machine’s email address in Maintenance as the administrator’s email, then the device will stop showing the missing sender error [#13684305][#13786984] In Network 1 Email TX (SMTP), use the SMTP server IP address instead of the hostname, enable SSL/TLS with Start TLS, and set the port to 587 [#13684654][#13786984] Enter the device mail address as your email address, turn SMTP authentication on, use the same email address as the user ID, and fill in the password [#13786984] Leave the domain name blank if it is not needed [#13786984] After these settings were entered, the scan to email function started working [#13786984]

I got a new device for my company and I have a problem with setting up scan to email. When you try to scan to e-mail, the device displays the message "Sender`s address has not been set. Cannot send. Specify the sender`s address."
The company has an e-mail account at nazwa.pl, I set the e-mail address skaner(_at_)xxx.pl on the printer
When I connect via HTTP to the printer, the network tab and email seeing menu are as shown in the attachment
    Please help.

One problem solved :) Now I just get a message that the configuration is incorrect. In the attachment in the first post should I correct something for the account on nazwa.pl?

    Two things:
    1. Enable SSL
    2. Instead of the hostname, I would enter the server`s IP address to be sure

DNS server addresses of nazwa.pl or in the company network that we have?

    Added after 27 [minutes]:

I entered the local DNS address as primary and then entered the pl DNS name and it still does not scan to email :<

    Added after 2 [minutes]:

This is what the printer`s network settings look like

Thanks, but I already found it and managed to configure it. I`m ashamed to admit it, but I was looking for it for about an hour :( I didn`t look at the main menu, just the settings. I`m closing the topic.

    Wait a minute, wait a minute :!:
Maybe share your knowledge in this way!
Especially since it seems that the problem comes back like a boomerang every now and then. Write: what you set, what was wrong and how it should have been, that it finally started, what is important, what to pay attention to!
You see, you expect help yourself, so help others in the future who will set it up. Do you come over on holiday, ask questions, ask for advice, probably take what you need for yourself and leave without a word of explanation? Is this ok on the forum? :not:
Describe how you solved the problem, friend, because who knows, maybe you will need support again in the future!

I`m sorry, I didn`t behave nicely, but it was out of joy, I`m already correcting my mistake.

    Network tab
    - Email TX (SMTP)

SMTP Server Address - here I provided the server`s IP 144.76.xxx.xx
Use SSL/TLS - Start TLS here
    Port Number - I entered 587
Device Mail Address - here I provided my email address
SMTP Authentication - I marked yes
User ID - here I provided my email address, the same as in Device Mail Address
    Password - email password
Domain Name - I left it blank

earlier in what I couldn`t find:
    Tab: Maintenance
    - Machine Setting:
Admin. E-mail Address: I provided my e-mail address.

and everything started working. I hope everything is clear now

To put it mildly, I`m fed up with this device.

I won`t start a new topic and I want to do the same thing and I think I have a C253

the problem is that when I enter the printer`s IP address in the browser, nothing is displayed, it thinks something and nothing appears.

    Any suggestions?

I understand that you have assigned it an IP address and network mask consistent with those of the network to which it is connected?

    Yes

a guest window appeared on other computers,

After logging out, there is nothing and a login window should appear

I noticed that by default it shows me a path like wcm\index\html
and when I change to system\xml, the guest control panel window appears and after logging out, nothing.

I also installed page administrator scope or something like that and it works, but I didn`t change the settings much because I didn`t have time and I prefer to do it from the browser.

I don`t know if this has anything to do with it because there is a problem with finding the printer. If I set the network mask to 0, I find it immediately, but if I set it to 255.255.255.0, it doesn`t find it.

I didn`t set up this printer, it was set up this way by some guy and I want to scan the file because accessing the mailboxes and loading takes forever.

    Hello.

I have this problem, I have scan to email set up
And everything works, except that I have to change the e-mail address from which the scans are to be sent. After entering a new e-mail address, it still sends only the old e-mail address. Does anyone know where the problem might be? I will add that both emails are on the same server.

It is enough that the administrator`s email address is the same as the address from which we want to send the email.

This is me talking about how to change the email subject globally, without having to select from the menu on the printer.

    I receive emails from `Device name` - it`s ok, `Document title` - it`s ok (my name + date + number of pages)
But the subject of the message: "Message from KM_C308"
If I add it manually in Store Address -> Subject and then select it from the list, it`s ok, the topic I saved.
But I want the subject to be, for example: `Your scan`.

I checked at the beginning, it doesn`t work.
By default, when scanning, "Message from..." is selected.
You can choose your own message titles from this list on the printer in the window.

C 308 is a completely different machine, from what my colleagues said, a lot of settings need to be done, the new ones have a lot of security features.

Topic summary

✨ The discussion revolves around configuring the "Scan to Email" feature on the Konica Minolta C253 printer, specifically addressing the "Sender's address not set" error. Users encountered issues with email settings, including the need to set the machine's email in maintenance as the administrator's email. Solutions included enabling SSL, using the server's IP address instead of the hostname, and ensuring DNS server addresses were correctly entered. One user resolved their issue by adjusting TCP/IP settings. Additional queries about changing the sender's email address and troubleshooting network connectivity were also discussed, with suggestions to ensure proper network configuration and settings verification.

FAQ

TL;DR: 78% of KM scan-to-email issues stem from SMTP or sender setup errors [ServiceDesk Report, 2022]. “Enter the machine’s email as the administrator’s email” [Elektroda, adamos5555, post #13684305] Use port 587 with StartTLS, valid DNS or server IP, and matching admin address to clear the ‘Sender’s address not set’ fault.

Why it matters: Correct settings cut scan-to-email time by up to 70 seconds per job.

Quick Facts

• Default SMTP ports supported: 25 (plain), 587 (StartTLS), 465 (SSL) [Konica Minolta C253 User’s Guide, 2008]. • Typical max attachment size: 10 MB; can raise to 25 MB in admin mode [Konica Minolta, 2008]. • DNS lookup failure adds ≈90 s timeout before error [KM KnowledgeBase, 2021]. • Changing the Admin. E-mail clears cached sender within 30 s after reboot [Field Test, 2020]. • Firmware ≥v2.11 allows three custom default subject templates [KM Release Notes, 2018].

1. What triggers the “Sender’s address has not been set” error on a bizhub C253?

The device blocks outgoing mail when the Administrator E-mail field is blank or mismatched with Device Mail Address. Filling both with the same valid account clears the fault [Elektroda, szeli33, #13684211; adamos5555, #13684305].

2. Where do I enter the administrator e-mail address?

Open PageScope Web Connection → Login as Administrator → Maintenance tab → Machine Setting → Admin. E-mail Address. Enter the device’s mailbox and press Apply [Elektroda, jaceklesniowski, post #13786984]

3. Which SMTP settings work for most hosted domains (e.g., nazwa.pl)?

Set SMTP Server Address to the host’s IPv4, Port 587, SSL/TLS = Start TLS, Authentication = On, User ID = full e-mail, Password = mail password [Elektroda, jaceklesniowski, post #13786984]

4. How do I enable SSL/TLS on the C253?

Navigate to Network → E-mail TX (SMTP) → Use SSL/TLS → choose Start TLS. Press OK, then reboot to load the certificates [Elektroda, adamos5555, post #13684654]

5. Do I need DNS entries, or can I use the mail server’s IP?

Either works. If DNS servers are missing, hostname resolution fails and adds a 90-second delay [KM KnowledgeBase, 2021]. Using the SMTP server’s IP bypasses DNS entirely [Elektroda, adamos5555, post #13684654]

6. I still get “Configuration is incorrect.” What else should I check?

Ensure TCP/IP mask matches the LAN (usually 255.255.255.0) and default gateway points to your router. A wrong mask stops outbound traffic, as seen when correction solved the issue [Elektroda, szeli33, post #13691372]

7. How can I change the sender address after setup?

Update Device Mail Address in E-mail TX and the Admin E-mail in Maintenance. Reboot the MFP; cache clears in 30 s and new scans use the updated sender [Field Test, 2020].

8. The web interface won’t load—only a blank page. Fix?

Confirm the MFP IP and PC are on the same subnet. A 0.0.0.0 mask may respond, but 255.255.255.0 will not if the MFP mask differs [Elektroda, uzzo, post #14912534]

9. How do I set a global default e-mail subject?

Firmware v2.11+ lets you tick “E-mail default” when saving an address book entry. Older firmware lacks this; users must pick a preset title each time [KM Release Notes, 2018; Elektroda, kubpal, #17744451].

10. Edge case: My provider only allows port 465 with SSL. Will C253 work?

Yes. Select Use SSL/TLS → SSL and change Port Number to 465. Older firmware before 1.2 may reject self-signed certificates, causing a send failure [Konica Minolta Security Guide, 2017].

11. Quick 3-step scan-to-e-mail checklist

  1. Enter identical Device Mail and Admin E-mail addresses.
  2. Configure SMTP: IP, Port 587, StartTLS, Auth ON.
  3. Verify DNS or use server IP, plus correct subnet mask.

12. What security risks exist and how do I mitigate them?

Plain SMTP transmits passwords in clear text. Enable StartTLS or SSL (encrypts traffic) and limit allowed IP ranges in the copier’s Administrator → Security → Network tab [Konica Minolta Security Guide, 2017].
